bookaball FAQ
bookaball is easy to use, but with so many cool features, questions might still arise. Here are answers to the most common questions to help you ace your experience with our platform.
Adding memberships and linking to discounts
Memberships in bookaball are segments which are paid for by players in the player app. With the membership, the player is granted specific rights and privileges based on a discount. To set up a membership, we need to create and link both.
Create the discount by selecting discount type 'discount' in the create/edit discount form. Configure the settings as part of the discount and save it.
Create a segment and name, describe, and price it according to your requirements. Link the discount which you created in the previous step by searching for it the corresponding field. Set the segment to 'visible' and your players will be able to purchase a membership in the player app.
What is the difference between a shared and open match?
Shared matches are private matches in which you split the total cost for the booking. You pay your part, send an invite to a friend in the platform or invite someone new via email. Invitees will receive an email in which they will be prompted to pay their part.
Open matches are almost entirely the same, but here everyone active on the platform will be able to see the match you created. That way everyone can join your match!
Setting up and mapping courts with Smart Padel Automation (SPA)
If your club operates with SPA, contact bookaball to set up the SPA add-on. SPA will provide you with an API key.
Under the add-ons tab, you can append the API key to the location that you would like to manage with SPA. Once added, you will be able to edit and link your courts in bookaball to the corresponding courts in SPA as well change the timing of the locks and lighting.
Setting up training and automated trial lessons
Setting up trainings in bookaball is a risk-free process.
Players are able to book a training series ahead of time via the player app. If a training series is not sold before a predetermined deadline, the first session of the training series will be automatically converted to a trial lesson.
If in these cases you are still not selling the trial lesson, it will in turn automatically be converted to an open time slot.
Creating discounts
Discounts are a very strong tool in promoting your club.
With bookaball, you can set up voucher code campaigns that scale up to 100,000 randomized codes per campaign or create discounts that relate specifically to a segment of users in your application.
Under de discounts tab in the admin, you can create a 'discount' or 'voucher' campaign. Discounts apply to the segments that you select, vouchers to voucher codes that you can create and distribute at your discretion.
We are continuously adding more options for you to configure the players' eligibility. Let us know if you would like to see any more options added.
Scoring matches
Players can review all open matches that they have played in their profile. By selecting one of their previous bookings, they can submit the score of the match. The outcome and the relative rating of all players will determine the score's impact on the individuals players' ratings.
Setting up events
Events can be set up from the location details page. By selecting the '+Event' button, the user will be prompted to fill out all information relevant to the event.
Important fields here are 'Minimum no. sign-ups' and 'Deadline'. If the minimum no. sign-ups is not met before the deadline, the event will be cancelled automatically and all entries will be refunded in credits.
In case the number of sign-ups is less than expected, admin and manager roles can adjust the number of courts for the event by deleting linked courts in the '+Event'. This will then allow players to make bookings on those courts.
Creating timed pricing schemes
Often locations have different operating hours and prices based on the season.
In case you want to create a new 'timed pricing scheme' that is based on your default prices, you can copy the default pricing scheme on the location details page, adjust the rates based on your season's prices and add a time period to it.
Determining series options and cancellations
In case that you offer players the ability to book series on your courts, you might want to determine how many weeks they can book the series for. Based on your service level requirements, you can determine per series duration option how many cancellations the player will get. The number of cancellations determines how many cancellations will be restituted in credits.
In the admin, under location details you will find the 'series duration' settings. Here you can configure the rules for series on location basis.
Setting up your GTM ID in bookaball
Driving conversions and optimising online marketing campaigns has never been easier.
By inputting your Google Tag Manager (GTM) ID in the admin under the account details, you will be able to directly track the attribution of conversions in bookaball with the marketing campaigns that you run online.
We will provide you with a simple one-pager to set up the correct events in GTM. From that point, you can track directly where your revenue is being generated.

Using tags to help your financial reconciliation
In order to keep your bookkeeping and reconciliation clear, bookaball offers tags in the admin. Tags can be assigned a name and VAT percentage, and are appended to products.
By tagging your products, you will receive an overview of how much been sold under a specific tag in your payment specifications. This will allow you to do your reconciliation and attribute taxes correctly.
How does the waiting list functionality work?
Waiting lists exist for both entire time slots and slots in open matches.
When players sign up for a waiting list, they will receive an email as soon as a slot opens up. Everyone who has signed up for the waiting list will receive an email once it does, and the slot will be assigned on a first-come, first-serve basis.
